Business Settings let you customize how your invoices, estimates, and purchase orders are numbered, how tax is applied, and which online payment methods your clients can use. This tutorial walks you through every option on the screen so you can tailor Invoice Genie to your workflow.
Opening Business Settings
- Tap your profile icon (top of the screen) to open the account menu.
- Scroll down to the Administration section.
- Tap Business Settings (purple number-circle icon).
The main screen lists each of your businesses as a separate section. Under every business name you’ll see a summary card showing the next invoice, estimate, and purchase-order numbers along with your current tax configuration. Below the card are links to Payment Methods and QuickBooks Accounting.
Understanding the Summary Card
Before you tap into the detail editor, the summary card gives you a quick snapshot:

Tap the summary card to open the full editor where you can change every value.
Editing Invoice Numbering
Inside the editor, the Invoice Numbering section controls how your invoice numbers look. Each setting is explained below.

| Prefix | Up to 3 characters placed before the number (e.g., INV). Tap the ✕ button to clear it. |
| Next Number | The number that will be assigned to the next invoice you create. This auto-increments each time. |
| Number Padding | How many digits the number should be padded to. For example, “5 digits” turns number 42 into 00042. |
| Preview | A live read-only preview of what the next number will look like (e.g., INV-00042). |
Editing Estimate Numbering
The Estimate Numbering section works identically to invoice numbering. You get the same four fields — Prefix, Next Number, Number Padding, and a live Preview. The default prefix is EST and the preview displays in a secondary color (e.g., EST-00008).
Editing Purchase Order Numbering
The Purchase Order Numbering section is also identical in structure. The default prefix is PO and the preview displays in orange (e.g., PO-00007).
Tax Settings
Below the numbering sections you’ll find Tax Settings, which control the default tax behavior for new invoices and estimates.
Tax Type
Choose one of three modes from the picker:

| None | Tax is disabled. No tax line appears on invoices or estimates. |
| On Total | A single tax rate is applied to the invoice subtotal after all items are summed. |
| Per Item | Tax is calculated individually on each line item that is marked as taxable. |
Default Tax Rate
When the tax type is set to On Total or Per Item, a Default Tax Rate field appears. Enter your rate as a percentage (e.g., 6.75 for 6.75 %). This rate is automatically applied to every new invoice and estimate you create.
Invoice Settings
The final section on the numbering & tax editor screen is Invoice Settings. It currently contains one toggle:
- Auto-Send Recurring Invoices — When enabled, recurring invoices are automatically emailed to the client on their scheduled date without any manual action.
Saving Your Changes
After adjusting any of the fields above, tap Save in the top-right corner of the toolbar. You’ll see a confirmation alert — “Settings updated successfully” — and the summary card on the main Business Settings screen will update to reflect your new values.
You can also pull down to refresh on the main Business Settings screen at any time to reload the latest data from the server.
Payment Methods (PRO Feature)
Below the summary card for each business, you’ll see a Payment Methods row. This is a PRO feature — tapping it as a free user opens the premium upgrade screen. Subscribed users are taken to the Payment Settings screen.
Payment Settings Overview
The Payment Settings screen shows all currently enabled payment methods at the top with green checkmarks, followed by individual configuration sections for each supported online payment processor:
- Square Payments
- PayPal Payments
- Stripe Payments
If at least one method is enabled, a Default Payment Method picker appears at the bottom, letting you choose which processor is pre-selected when clients pay.
Connecting Square
- On the Payment Settings screen, tap Square Payments.
- You’ll see a “Connect with Square” screen. Choose your environment:
- Production — for real transactions. Tap Connect with Square to open the secure OAuth sign-in page inside the app.
- Sandbox — for testing. Paste a test access token from the Square Developer Dashboard, then tap Connect Sandbox Account.
- After authorizing, you’ll see your connection details — email, display name, Merchant ID, Location ID, and environment badge.
- Toggle Enable Square Payments to start accepting payments (2FA code required).
To disconnect, scroll to the bottom and tap the red Disconnect Square button. A confirmation dialog will appear before the connection is removed.
Connecting PayPal
- Tap PayPal Payments on the Payment Settings screen.
- Choose Sandbox or Production environment.
- Tap Connect with PayPal to open the PayPal OAuth authorization flow in an in-app browser.
- Sign in to your PayPal account and authorize Invoice Genie.
- Once connected, you’ll see your PayPal email, display name, and environment badge.
- Toggle Enable PayPal Payments (2FA required).
Tap Disconnect PayPal at any time to remove the connection.
Connecting Stripe
- Tap Stripe Payments on the Payment Settings screen.
- Choose Sandbox or Production environment.
- Tap Connect with Stripe to launch Stripe’s guided onboarding flow (Stripe Connect OAuth).
- Follow the Stripe prompts to set up or link your Stripe account — no API keys required.
- Once connected, you’ll see your Stripe email, display name, account ID, and environment badge.
- Toggle Enable Stripe Payments (2FA required).
Tap Disconnect Stripe to remove the connection when needed.
Setting a Default Payment Method
When you have more than one payment processor enabled, a Default Method picker appears at the bottom of the Payment Settings screen. Select the method you want pre-selected for clients — they can still choose a different enabled method at checkout.

Troubleshooting
| Problem | Solution |

| I don’t see the Administration section | Only Administrators can access Business Settings. Ask your admin to update your role. |
| Payment Methods shows a lock icon | Payment Methods is a PRO feature. Upgrade your subscription to unlock it. |
| 2FA code never arrives | Make sure you have a valid phone number in Profile Settings. Tap Resend Code to try again. |
| OAuth sign-in page doesn’t load | Check your internet connection and try again. The OAuth flow opens inside the app — no external browser is needed. |
| Stripe says “verifying your identity” | This is normal for new Stripe accounts. Complete any pending verification steps in your Stripe dashboard. |
| Changed tax rate but old invoices still show the previous rate | By design — each invoice preserves the tax settings that were active when it was created. Only new invoices use the updated rate. |
| Token expired warning on a payment provider | Tap Disconnect and then reconnect via OAuth to refresh your authorization token. |
