How to Read Crew Analytics in Invoice Genie

Learn how to use Crew Analytics in Invoice Genie to track team revenue, compare invoice coun

Crew Analytics gives administrators a bird’s-eye view of how every team member is performing โ€” total revenue, invoice counts, client reach, and more. This tutorial walks you through every section of the screen so you can get the most out of your data.

Note: Crew Analytics is available only to users with the Administrator role. Other roles will not see this option in their menu.

Opening Crew Analytics

  1. Tap your profile icon at the top of the screen to open the account menu.
  2. Scroll down to the Analytics & History section.
  3. Tap Crew Analytics (blue bar-chart icon).

The Crew Analytics screen loads with the Monthly time range selected by default. If you’ve visited recently, cached data appears instantly while the latest numbers are fetched in the background.

Choosing a Time Range

At the top of the screen you’ll see a horizontal row of filter pills. Tap any pill to update every card, chart, and list on the screen for that period.

The active pill is highlighted in your theme’s primary color. Switching filters makes a fresh request to the server, and the screen updates once the data arrives.

Summary Cards

Just below the time-range pills you’ll find four summary cards arranged in a 2×2 grid. These give you the headline numbers for the selected period at a glance.

Total Revenue $ Combined dollar amount of all invoices across every crew member.
Total Invoices ๐Ÿ“„ Total number of invoices created by the entire crew.
Active Crew ๐Ÿ‘ฅ Number of team members who have at least one invoice in the period.
Avg Invoice ๐Ÿ“Š Average invoice value (Total Revenue รท Total Invoices).
Tip: Compare the Weekly and Monthly views to quickly spot whether revenue is trending up or down.

Performance Overview (Bar Chart)

Below the summary cards is the Performance Overview section. It contains a horizontal bar chart that compares your crew members side by side. Each bar represents one team member, sorted from highest to lowest, with the exact value shown at the end of each bar.

Switching Metrics

Above the chart is a segmented control with four tabs. Tap any tab to instantly change which metric the chart displays โ€” no new data fetch is needed because all four metrics are already loaded.

This makes it easy to answer questions like “Who brings in the most revenue?” or “Who works with the most clients?” in a single tap.

Crew Members List

Scroll down past the chart and you’ll find the Crew Members section โ€” a detailed card for every team member, sorted by revenue (highest first).

What Each Card Shows

Each crew member card is divided into two rows:

Top row:

  • Avatar โ€” a colored circle displaying the member’s initials (e.g., “KS”).
  • Name & email โ€” the member’s full name and email address.
  • Revenue & invoice count (right side) โ€” their total revenue in green and the number of invoices (e.g., “130 invoices”).

Bottom row (stats grid):

Stat Icon Meaning
Clients ๐Ÿ‘ฅ Number of unique clients this member has invoiced.
Avg Value ๐Ÿ“Š Their average invoice amount.
Paid โœ“ How many of their invoices have been paid.
Unpaid ๐Ÿ• How many of their invoices are still outstanding.
Tip: The Paid vs. Unpaid breakdown is a quick way to identify which crew members may need help following up on outstanding invoices.

Top Performers

At the bottom of the screen, three award rows highlight your standout team members:

Highest Revenue ๐Ÿ‘‘ The crew member who generated the most revenue in the selected period.
Most Invoices โญ The crew member who created the most invoices.
Most Clients ๐Ÿ‘ฅ The crew member who invoiced the most unique clients.

Each award row shows the crew member’s name alongside their winning metric value (e.g., “$795,917.46” or “130 invoices”).

Refreshing the Data

Crew Analytics caches data for 5 minutes so the screen loads quickly. If you need the very latest numbers:

  • Pull down to refresh โ€” drag the screen down to force a fresh update from the server.
  • Switch time range โ€” tapping a different time-range pill always makes a new request.
  • Switch business โ€” if you change the active business from the profile menu, the analytics automatically reload for the new business.

While new data is being fetched, a small “Updating…” indicator appears at the top of the screen so you know a refresh is in progress.

What’s our total revenue this month? Total Revenue summary card (Monthly filter).
Who brings in the most money? Performance Overview โ†’ Sales tab, or the Highest Revenue award.
Who creates the most invoices? Performance Overview โ†’ Invoices tab, or the Most Invoices award.
Which crew member has unpaid invoices? Crew Members list โ†’ look at the Unpaid stat on each card.
How many clients does someone serve? Performance Overview โ†’ Clients tab, or the Clients stat on a member card.

Troubleshooting

Problem Solution
I don’t see Crew Analytics in my menu Only Administrators have access. Ask your admin to update your role if needed.
The screen shows a loading spinner that won’t stop Check your internet connection. If you’re offline, cached data will display instead โ€” go online and pull down to refresh.
A crew member is missing from the list Only members with at least one invoice in the selected time range appear. Try switching to All Time to see everyone.
Numbers look outdated Data is cached for 5 minutes. Pull down to refresh for the latest figures from the server.
I see data from the wrong business Switch to the correct business from the profile menu. Analytics automatically reload for the selected business.
