Your Invoice Genie account includes your personal profile, security settings, language preferences, and active sessions. This tutorial explains how to manage and maintain all aspects of your account.

👤 Editing Your Profile

Your profile contains your personal information that appears throughout Invoice Genie — on invoices, in team lists, and in communications.

How to Edit Your Profile

  1. Tap your profile icon in the top-right corner
  2. Select “My Profile”
  3. Edit any of the available fields
  4. Tap “Save” to apply your changes

Editable Profile Fields

💡 Tip: Your username cannot be changed after registration. If you need a different username, contact your administrator.

Administrator-Only Profile Fields

If you are an administrator, you can also edit additional fields for other team members through User Management:

📱 Managing Active Sessions

Invoice Genie tracks every device where you are logged in. You can view and manage your active sessions to keep your account secure.

Viewing Active Sessions

  1. Tap your profile icon“My Profile”
  2. Scroll to the Active Sessions section
  3. You will see a list of all devices where your account is currently logged in, including:
    • Device name and model
    • Operating system
    • Last active date and time
    • Current session (marked with a badge)

Logging Out of Sessions

Log Out All Devices Logs you out of every device at once Profile menu → “Log Out All Devices”
Remote Logout Admin can force-logout another team member User Management → select user → “Remote Logout”
⚠️ When to Use “Log Out All Devices”: Use this if you suspect unauthorized access, if you have lost a device, or after changing your password to ensure no stale sessions remain.

🌍 Changing Your Language

Invoice Genie supports 7 languages. Changing your language updates the entire app interface, all menus, and even system emails (verification codes, password resets) sent to your address.

How to Change Language

  1. Tap your profile icon in the top-right corner
  2. Select “Language” from the menu
  3. Choose your preferred language from the list
  4. The app instantly switches to the selected language
💡 Tip: Your language preference is also saved to the server. This means system emails (like password reset codes and verification emails) will be sent in your selected language.

📋 Document Language

In addition to the App Language, Invoice Genie lets you set a separate Document Language — the language used for the content of invoices, estimates, and purchase orders that your clients receive. This setting is completely independent from your App Language.

Why have two separate language settings?

Many Invoice Genie users are bilingual. Imagine you are an Albanian professional living in Germany: you want to use the app in Albanian (your native language), but every invoice and estimate you send to German-speaking clients should be fully in Deutsch — with German labels, German date formats, and a PDF filename like Rechnung_INV-001.pdf.

Before Document Language existed, the only way to achieve this was to switch the entire app language before generating every document, then switch it back afterwards. With Document Language you set it once and it stays. Your app never changes; only the documents your clients see are affected.

This is especially useful for:

  • A Greek contractor in the US who runs the app in Greek but invoices clients in English
  • A Polish business owner in Italy whose clients expect documents in Italian
  • A Spanish speaker in Germany who keeps the app in Español but sends Deutsch invoices
  • An Albanian professional whose international clients receive documents in their own language

How to set Document Language

  1. Tap your profile icon in the top-right corner and select “Language”
  2. Scroll down to the “Document Language” section (below the app language list)
  3. Choose the language your clients should receive documents in
  4. To keep both languages in sync, select “Same as app language”
💡 Tip: Document Language affects PDF filenames too. A German document saves as Rechnung_INV-001.pdf, an Italian one as Fattura_INV-001.pdf, and a Spanish one as Factura_INV-001.pdf — so your clients recognise the document the moment they receive it.

💱 Currency Settings

You can configure which currency symbol appears on your invoices and estimates.

  1. Tap your profile icon“Currency Symbol”
  2. Browse or search for your currency
  3. Select the currency to apply it

Each currency shows its symbol, ISO code, and country flag for easy identification. The currency applies per business profile — if you manage multiple businesses, each can have its own currency.

Two-Factor Authentication Methods

Invoice Genie supports three 2FA methods for login security:

  • SMS — receive a code via text message
  • Email — receive a code to your 2FA email address
  • Authenticator App — use Google Authenticator, Authy, or similar TOTP apps
